Operations Admin Assistant
Operations Admin Assistant required by IT Company based in Cape Town, to provide and deliver an effective and comprehensive administrative support service with the Operations Team to the entire company. You must have strong administrative skills and strong planning and organization skills, be highly detail-orientated, structured, have good communication skills and the ability to multi-task in a high-performance, high-pressure, proactive environment. Accounting/account processing background, demonstrating high levels of accuracy and needs to have an excellent attention to detail.
KEY RESPONSIBILITIES
General administrative support for Operations Team such as:
Captured and updated new and existing Client details in various company systems
Checked and closed all completed tickets and follow up with Client within one day from closing ticket.
Collected information for sign-off reports. Technical Documentation signoffs, AV deployment sign-off, Asset Registers etc
Capturing of billing and assisting with month-end tasks
Log calls correctly and allocate to appropriate technician
Enforce and managed technician deadlines
Ensure admin documents post-ticket close is updated as per procedure.
Monitor Clients’ backups and sent report daily
Coordinate all and ran all sign offs in advance of Month-End invoicing
Monitor technician’s billing and sent report daily of previous days and monthly billing
Ran monthly maintenance reports, and discuss findings with management
Updating CI documentation
REQUIREMENTS
Matric certification
3 years admin experience
IT related qualification or certification essential
Any relevant certificate / diploma or degree relating to the position
Excellent written and verbal communication skills is non-negotiable
Previous experience working in a Technical environment would be highly advantageous
Experience providing administrative support to multiple internal/external customers.
Advanced knowledge of Microsoft Office products (Outlook, Word, Excel).
Desire to work collaboratively and build relationships with cross-functional teams.
Highly organized with the ability to manage multiple projects and competing demands.
Experience with Adobe InDesign very beneficial
